E ASE `{`M' r / 4Peci4 With Greencastle Board of Park Commissioners Meeting Wednesday, December 6, 2023 6:OOpm Robe Ann Park^' Greencastle, Indiana MINUTES Park Board-December 6,2023 Present:Cathy Merrell(CM),Joanna Muncie(JM),Tim Trigg(TT),Doug Hutchison (DH), Mayor Dory(BD),Stacie Langdon(SL),Ashley Crady(AC),Eric Bernsee(EB) Call to order-CM at 6:01pm Public Input-None Approval of November meeting minutes Motion to approve by DH;second by CM;passed 4-0 Approval of monthly claims and invoices-Motion to approve TT; second by DH;passed 4-0 New Business • Solar Eclipse April 8,2024-3:08pm(?).At the Mayor's recommendation it was agreed camping would not be feasible for the event. It may not even be necessary due to the time of the event,plus it could be an insurance issue as well. However,the Board would like to re-visit the event next month after the Director follows up with additional information.Overall,they like the idea. • (Potential)Fall 24 Slingshot Tournament being proposed at Big Walnut Sports Park(BWSP).Request was forwarded to the Director only recently.More information needs to be gathered,but again,the Board is not,at this point,opposed to the event.They just need additional information,which should be provided over the next few weeks.The event,if it happens at BWSP,would likely take place the first weekend in October 2024. • Dam Report(Jaycee Park)-Garth Hughes,of Align Engineering,recently completed and provided the most recent inspection report.The Jaycee Park Dam is in good shape and will continue to be inspected on an every two-year basis.The maintenance staff recently completed trimming and general clean-up of the dam. Old Business • The Director referenced the Robe Ann Park bathrooms renovation—the project is ongoing and nearing completion.The new urinals,commodes,are working;a few supplies are still to be received, so the project should be completed in the next couple of weeks. Director's report—The Director met with other officials to discuss the future, as well as,the current state of downtown Greencastle,and how it can be improved.This Main Street initiative hopes to result in a strategic plan for the downtown area.The meeting gave the Director the opportunity to re- visit his hope to create new park property on the north side of the city.Everyone at the meeting agreed the north side has been neglected when it comes to providing recreational facilities and opportunities on the north side. Initial discussions with the County,which owns the former Jones School property location, have been positive up to this point. CS report-absent AC report-The Nerf Domination event attracted 40+participants.It took place at the softball field in Robe Ann Park.A DePauw Bonner Scholar, Haleigh Menendez,hosted the second annual baking contest at the Inn at DePauw.There were nine participants with 13 total entries. The Cookies and Canvas program(with a painter and participants painting a wintery scene)will take place December 9. It is for those 10 years and older.The department will be providing refreshments. Breakfast at the North Pole at 3 Fat Labs is December 16.A continental style breakfast will be served.Tom's Coffee will also attend. It is from 10-11:30am. Allison Leer and husband are doing pet pictures with Santa,Saturday, December 16,from 12:00-2:00. The month-long coloring contest is ongoing. And Letters for Santa is also ongoing.About SO letters have been received so far. That concluded the official meeting. Mayor Dory thanked the board members for their service as he indicated this was his final meeting as Mayor. He also spoke about the Robe Ann festival lighting event and emphasized that Kate Knaul needs assistance in hanging the lights. Kate did most of the work. TT asked about a sound system Allison Leer donated to the department a few years ago.It would allow visitors to hear music as they drove through the park during the holiday event.
