AN ORDINANCE OF THE CITY OF JEFFERSON, MISSOURI, AUTHORIZING THE
MAYOR AND CITY CLERK TO EXECUTE AN AGREEMENT WITH PETERSON
GROUP FOR EVIDENCE ROOM STORAGE MODIFICATIONS.
WHEREAS, Peterson Group has become the apparent lowest and best offer for
Evidence Room Storage Modifications;
NOW, THEREFORE, BE IT ENACTED BY THE COUNCIL OF THE CITY OF
JEFFERSON, MISSOURI, AS FOLLOWS:
Section 1. The bid of Peterson Group is declared to be the lowest and best offer
and is hereby accepted.
Section 2. The Mayor and City Clerk are hereby authorized to execute an
agreement with Peterson Group for Evidence Room Storage Modifications.
Section 3. The agreement shall be substantially the same in form and content as
that agreement attached hereto as Exhibit A.
Section 4. This Ordinance shall be in full force and effect from and after the date
of its passage and approval.

The bid was sent to nine additional bidders that did not respond and was advertised in the
News Tribune and posted on the City's web site.

PAST PERFORMANCE:
The City has no experience with this vendor;however,based on the evaluation of the
response received, staff believes the vendor will provide the system as specified and bid.
RECOMMENDATION:
Staff recommends award of the bid to the lowest and best bidder meeting the
specification, Peterson Group of Fenton,Missouri in the amount of$38,259.00.

Subject: Evidence Storage Bid Results
Date: September 9, 2010
Jefferson City Police Department received two bids for the evidence room renovation project.
The two bids received were from Peterson Group and Datum Filing Systems. Datum Filing
Systems provided an incomplete bid,and the portion of the bid received is higher than that of
Peterson Group's total bid. Datum Filing System did not provide a bid for the pass through
lockers, which is a critical part of the renovation. Peterson Group will also complete the entire
project faster than Datum Filing Systems.
The Evidence Room Renovation project bids are significantly less than the project estimate of
550,000 and funding for this project will come from Sales Tax E.
The Jefferson City Police Department proposes to award the bid to Peterson Group based on their
Base Bid.
