HomeMy Public PortalAboutHow to Create a Purchase Requisition for Non-BPA Goods & Services (PO.18) Page 1 of 5 Objective By completing this topic, you will be able to create a Purchase Requisition for items NOT located on a BPA. Note: You will need an item number to create any Purchase Requisition. It is highly recommended that you note your item number before creating your PR. If you need assistance searching for items refer to the PO .16. DO NOT USE THE ADD TO CART BUTTON FOR NON-BPA PURCHASE REQUISITIONS. YOU WILL NOT BE ABLE TO ADJUST ITEM DETAILS. Steps Actions 1 Go to Procurement – Purchase Requisition Area 2 Click More Tasks & Enter Requisition Line Oracle Purchasing CREATE PURCHASE REQUISITION FOR NON-BPA ITEM 2 | M S D 3 Enter Item Number Enter your Item number into the Item field and hit enter. After selecting the item, specific fields such as Item Description and Unit of Measure (UOM) will auto populate. Note: Line Type should always be Goods unless this is an Engineering or Capital Item. Optional: To see more details for an item, click the upper left corner on the i 4 Enter Quantity & Price Note: All fields with * are required 3 | M S D 5 Deliver-to Location The Deliver-to Location will be auto populated based on requisition preferences. 6 Transaction Reason Enter the Transaction Reason. Note: The Transaction Reason should never be Blanket Agreement for this type of PR. 7 Cost Center Update the Cost Center Information. It will be the 5-digit number after 1101. If you aren’t sure which Cost Center you should be charging to, ask your supervisor for more info. Note: You CANNOT change the Natural Account number of any item in Fusion. If you aren’t sure what Natural Account number your item is associated with, see the Category Code Sheet 4 | M S D 8 Optional – Add Attachments and Notes to Buyer & Supplier 9 Add to Cart Click the Add to Cart button. Optional: Repeat lines 1-9 to add more items or lines to this PR. 10 Review Cart Click the Cart button. Then click the Review button. 5 | M S D 11 Optional – Check Funds Click the Check Funds button to view if Funds are available from the Cost Center you entered in step 7. Click OK when done. Note: Once you hit Submit, Oracle will always perform check funds and give an error message if Funds are not available. If there is Funds Check Failure, click View Funds Check Results and work with Finance on selecting the correct Cost Center/Natural Account. 12 Optional – Manage Approvals Click Manage Approvals to view the approval flow of your PR. 13 Submit PR Click the Submit button once you are ready to submit your PR for approval.
