Objective
By completing this topic, you will be able to search for items to use for purchases on POs and PRs.
Notes:
• You will need the Category Code Sheet here
• NA refers to Natural Account number
Steps Actions
1 Refer to the Category Code Sheet to determine what Category Code number/name is associated with
each Natural Account number (If you aren’t sure what NA is needed for the purchase, ask your
supervisor).
For this example, we will be purchasing miscellaneous ad services and need to charge our budget’s
Natural Account # 54080.
Referring to the Category Code Sheet:
Natural Account # 54080 = 915.04 Advertising Services

Make note of the Category Code number/name 915.04 Advertising Services. You will need this for
searching purposes.
2 Go to Procurement – Purchase Requisition Area

SEARCH FOR ITEMS

3 Click on Shop by Category (far left side of screen)
Scroll down this list until you locate category 915.04 – Advertising Services and select.
The items displayed will be ALL items assocaited with 915.04 Advertising Services or Natural Account #
54080.

For easier viewing, change your view from Cards View to List View.
Your search results will appear in list form.
Scroll through the list until you find an item that best suits your purchase. You can add fields to your
results, such as Agreements, to determine if the item is located on a Blanket Purchase Agreement. You
will want to be sure to NOT select BPA items, unless you know you are indeed purchasing an item
located on a Blanket Purchase Agreement.
To add fields to your display area, click on View – Columns – Show all or select specific fields you want
displayed.

4 Shop by Search Bar & Category
Enter a keyword into the search bar and hit enter. For this example, we will use Miscellaneous.
The items displayed will be ALL the items that contain that word. To find JUST the items in 915.04, scroll
through the Categories until you find Category Code 915.04 for Advertising Services and select.
The items displayed will be ALL the items that contain your searched word and ALL the items with
Category Code 915.04 or Natural Account # 54080.
Item # 82712 is the only item number with Natural Account # 54080 and the word Miscellaneous. This
item number can now be used on your PR to make a non-blanket, miscellaneous purchase coming out
of Natural Account # 54080.
