Objective
Create a Purchase Order based on a previously approved Purchase Requisition.
Step Actions
1 Go to Procurement – Purchase Orders
2 Click on the Task Pane, then Process Requisitions
3 Search for Purchase Requisition
Search for your PR using any of the fields available. All fields with * are required. You can also search via
the Advanced search bar to locate multiple PR’s.

4 Optional:
To search via requester instead of requisition number, click Advanced, then Add Fields, then Requester. If
you search using only Requester, you’ll need to set Requisitioning BU = The Metropolitan St. Louis Sewer
District.
5 Optional:
View columns to see more information related to the requisition. View - Columns.
You can drag the columns by clicking the column title to position them according to your liking.
6 Optional:
Click on the Requisition number hyperlink to see more details on the requisition.
After the requisition details have been reviewed, click Done button.

7 Select PR, Add to Document Builder
Select the PR for processing by highlighting the row. Once highlighted, click Add to Document Builder.
Note: If the item in the PR is incorrect, you must create a new PR. You cannot update the item in the PO.
8 Confirm or update the Type
11 Leave the Sourcing Agreement field blank
12 Enter or Update the Supplier field
13 Click OK, then Create on the Document Builder section, then OK again on the pop-up.

14 Communication Method
If you do not want communication to be automatically sent to the supplier (PDF of the PO), set the
Communication Method to None.
15 Edit Description
Enter a Description for the PO. If the requsition is from Maximo, it should have already populated.
16 Review Terms section
The information here should default from Supplier profile.

17 Attachments & Notes
If required, add an attachment. Click the Notes and Attachment section, then click on the + sign next to
Attachments.
Click on Choose File to add the file you need.
You can also add notes to the Supplier and notes to the Receiver in this area. Notes to Supplier will show up
on the PO PDF.
18 Review Additional Information
Review and update additional information as needed.
19 Review Lines, Schedules & Distributions
Review the information under the Lines, Schedules, and Distributions sections to ensure its correct and
adjust if needed.
20 Check Funds
Click Check Funds to confirm the PO has funds available. You should get the below confirmation if successful.

21 Manage Approvals
Click Manage Approvals to confirm who will be approving your PO and to add notes for the approver. The
approver will see these notes as “Justification” when they review your PO.
22 Submit PO for Approval
Click Submit to send your PO for approval. You should get the below confirmation.
