HomeMy Public PortalAboutCOA Board Minutes 2014-10-22 1 DR-EAWIS Trtl Ea o_RK MEETING MINUTES Orleans Council on Aging Board of Directors Meeting Wednesday, October 22, 2014 CALL TO ORDER: A quorum was established and the meeting was called to order by Chairman, Fran Bonscher at 1:00 pm. MEETING ATTENDANCE: Board Members present: Fran Bonscher, George Dunn, Sandy Marshall, Betty Hinkley and Tim Linkkila COA Staff Present: Director, Judi Wilson, and Office Manager, Donna Faivre Others Present: GOA Liaison, Selectman David Dunford and Assistant Town Administrator, Myra Suchenicz Absent: Phil Halkenhauser, and Margie Fulcher APPROVIAL OF MINUTES: • A motion was made by Tim Linkkila, which was seconded by Sandy Marshall to approve the minutes of the September 24, 2014 meeting with a correction to change Vice Chairman Bonscher to Chairman Bonscher on first paragraph of the first page. Vote 5(Y) 0(N) 0(A). CHAIRMANS REPORT: • Chairman Bonscher mentioned that there will not be a November meeting. The December Board meeting will be held on December 3, 2014 at 1:00 pm. TREASURER'S REPORT"": • Copies of the COA financial report for September 2014 were presented to all Board members for their review. • Director Wilson noted that our operating expenses are low, but that we will be paying for some maintenance contracts in the future. • Day Center income looks good but our numbers usually drop in the winter as people go away. We are keeping an eye on the income and attendance. DIRECTOR'S REPORT*": Proaram Updates: Transportation: • Monthly bus trips to Hyannis will be suspended for the winter due to the weather and will be resumed in the Spring. Health &Wellness: • The flu clinic will be held here at the COA on November 141. We have a list of 80 people that we are calling in order to register them online if they do not have computer access. • Memory screenings are being scheduled by Hope Dementia. • Cooking class for the holidays "Keeping the Holidays Healthy" will be held November 19tH LGBT: We are holding an LGBT evidence based program, "Aging as an LGBT Person'which will assist us to applying for grant funding in the future. Miscellaneous Program Updates: • The art committee has rehung our permanent art collection. Some of our collection that is now hung at Town Hall will be returned to the COA before the collection goes back up in the Fall. • Our very popular Tai Chi Series of classes is once again full to capacity. We hope to continue to run the classes again after the current session is over. i 1 • We have a new Women's Writing Group starting, which will be facilitated by Laurie Higgins who writes for the Cape Codder. Special Programs: • Death Cafe: This program will allow discussions of some tough topics that are important for end of life decisions. • Five Wishes: This program is a type of living will that specifies your wishes, to leave for your family upon your death. • Conversations about Dementia Caregiving: This caregiving program is for anyone who is taking care of aging parents or other adults. COA Staff Updates: • Brenda Fernandez has resigned due to personal reasons. Claudia Trend is now a part-time substitute who is helping us out. She has been tasked with registering clients for the flu clinic. • Staff received additional training on the new software program "My Senior Center". • CPR Training has been scheduled for staff members. Buildina & Grounds: • We have had the electronic door to The Day Center repaired once again. • The trees that are infected with the gall wasps will have to be removed. • We have a new shed going on the property to store excess tools and equipment. It will be located on the grass area near the Day Center. • The meeting room floors had to have another expansion joint cut to allow the floor to lay flat. Miscellaneous: • The Town's new website is up and running. The COA page still requires some updating which will be completed in the future. • Director Wilson and the two Outreach workers attended the MCOA annual conference at the beginning of October. FRIENDS UPDATE: (Presented by Betty Hinkley) • The FRIENDS have two new board members. Nancy Noble and Bonnie Engelhart have joined the board. They bring a lot of skills and will be a great asset to the group • Marybeth Fincke will be the FCOA acting president in order to file their 501 C3 nonprofit status. • The FRIENDS will be sending out their annual appeal letter in November. OLD BUSINESS: • The revised draft of the Participant Behavior Policy was presented to the board for approval. George Dunn put forth a motion to approve the policy, which was seconded by Tim Linkkila. Motion passed 5-0-0. NEW BUSINESS: • Director Wilson asked for the Board's input regarding a Building Use Policy. She gathered information from other COA's as to how they handle building use in their towns. Director Wilson suggested a sub-committee be formed to narrow down the parameters for the policy. Tim Linkkila and George Dunn volunteered for the committee. Tim suggested that Judi provide a description of what she believes "senior use" means to her. • Future Items: Program Participant Policy and Volunteer Policy. PUBLIC COMMENT: • None 2 I ADJOURNMENT: • With no further business, Chairman Bonscher asked for a motion to adjourn the meeting. Sandy Marshall put forth a motion to adjourn the meeting, which was seconded by Tim Linkkila. The meeting was adjourned at 2:13 pm. Vote: 5 (Y) 0(N) 0(A).
