In attendance: Committee Members,Jane Peno, Ingrid Moyer,Sue Christie, Bonnie Roy, Deb Steven,Judi Weil;Also in attendance-Selectboard Liaison Alan McClennen; Interested Citizen-Wally Swidrak, Friends of the Fourth Peter O'Meara,Judi Benz The Meeting was called to order at 4:00pm The MINUTES of April 15,2016 were approved 5-0 Judy Weil abstain. 4-0.Sue Christie not yet in attendance AGENDA ITEMS: Old Business: 1.UPDATE FROM THE FRIENDS OF THE FOURTH: • Fireworks Update ➢ The mini barge will be loaded and launche at Rock harbor ➢ Construction has taken up space at the Rock Harbor parking area so Bonnie will find out,from Atlas Fireworks,what time the barge and fireworks are arriving ➢ Bonnie will also check to see if we need to do anything during the off-loading time ➢ Sue reported that she has spoken with Kara,at Nauset Disposal,and they will again donate porta- potties and trash containers for the Fireworks • Fundraising ➢ Donations have been coming in but the Friends are not sure they will seek to increase the display. They are trying to build a base of funds. ➢ Sir Speedy can do it all of the printing,stuffing,etc ➢ Peter secrured non-profit postage. • $1000 has been donated in memory of Bruce Ayer • Liana,at John Kelly's office,said that some money came in to Town Hall for fireworks. It should go to the Friends of the Fourth. The Town does not have a fund for fireworks other than the direct amount given to the Town to pay for the Fireworks. Bonnie will check in with her. 2. BAND UPDATE • Colchester Continentals—it was agreed that the Contenentals will perform on July 1n at 6:30 before the Firebirds baseball game. They will then perform the National Anthem and a Musket Volley • All band contracts are in except for the Colchester Continentals 3. VEHICLE UPDATE • Ed Daley is the Citizen of the Year • Some names were discussed for Grand Marshal. We will decide at our next meeting. 4. ENTRY FORMS • Bonnie has received four entry forms 5.THEME • Bill Pomeroy will contact the Cape Codder with the Contest winner photo and a caption 6. PARADE • Deb ➢ Will remind the OPD that Eldredge Park Way needs to be closed for the whole parade, not just until the contingents round the corner on Rt 6A. The road needs to stay open because the parade ends on Eldredge Park Way also. ➢ Has spoken with the police,fire and highway departments.regarding dates Greg Beaker will receive a packet from Atlas. He knows about the barge and will get all of the certifications ➢ Will remind Kevin at police dept about the electronic sign board to advertise 4th events ➢ Committee communication between the middle and elementary schools was discussed. The use of Walkie Talkies is a possibility. Deb will check with Kevin. We would need about 6. We could also check with the OFD if need be. Tom Daley, 2 parade. 2 fireworks ➢ Will contact Tom Daley to secure sawhorses—2 for parade (Eldredge Park Entrance),2 for fireworks at entrance to Rock Harbor ➢ Will distribute posters to the realtors • Sue ➢ Sue spoke with Kara,at Nauset Disposal,about porta-potties for the elementary school and trash and recycling containers for the parade. They will distribute them early on the morning of the parade ➢ We need magnetic signs for our Committee truck to identify it and the fact that we are collecting donations.A Thank you for your contribution sign can be placed on the back of the truck ➢ The banner has been brought to Young and Fancy to have dates changed ➢ Is talking with Tom Daley about the banner hanging ➢ Application is submitted for the banner hanging. Banner will be hung June 28th to July 5th ➢ Will arrange for ice from Land Ho ➢ Will contact the new person in charge at OIA to see if Russ Holden will again be Uncle Sam • Jane ➢ Jane will get a list of bands and how much we are paying them ➢ Deliver letters, at the beginning of June,to Stop and Shop and Shaws requesting a donation of small water bottles. ➢ Jane will email the cover letter and entry form to former entrants ➢ Letters to dignitaries and Judges-June ➢ Contact Greg Delory and Diane Landau to see if they will be Judges • Ingrid ➢ Ingrid will write an article about her delivery of a trophy to a winning family in California. She also has a picture she will send in with the article. ➢ Is going to look at having special T-shirts for the collectors to wear. ➢ We may put part of the theme (Catch the Spirit!)on the T-shirts that we sell. Possibly a white shirt with red and blue print ➢ We are going to stay with same awards and update the Haubner Award with another plate ➢ Some entry forms will be delivered personally to local businesses by Ingrid. She will coordinate with Jane. Ingrid will also leave Entry Forms at various locations in Orleans, Eastham and Brewster ➢ Ingrid will be put up posters at the local post offices, beaches,transfer station,and library.She may mount some of the posters to make them more visible • Bonnie ➢ The Town Website has all of the 4th information and the Entry Form to make available online ➢ The Chamber of Commerce has emailed the cover letter and entry form to its members. ➢ Will work on a newspaper article about the 4th events including the dates and names of the Theme Winner, Citizen of the Year and Grand Marshal. She will pass on to Bill Pomeroy ➢ Will submit Sign Posting form to Building Department. ➢ Change dates on signs ➢ Post sign at power station board and board signs around Town (June 28th-July 5th) ➢ Contact Gail Briere to see if she will be a Judge ➢ Submit Facility Use Permits for OES and NRMS parking lots ■ • Judi > s working on acquiring donation vehicles. The number of band members will help decide what vehicles we need > Liz is not driving this year. Maybe Laura Howerton will drive in her place. > Randy MacDonald or Carl Howerton will drive the pedicab with the Theme Winner > Request a waiver of the tipping fee at the Transfer Station for Nauset Disposal. Judi Weil will submit to health department ➢ Bus removal from the NRMS and OES lots (OES- need room for Spirit band (flatbed, tractor trailer and buses • Bill Weil > Antique cars come in after dignitaries. If they have to go in both lanes of the road,can they be staggered so they are still visible? • Judy Benz > Will check with Glenda and Steve about picking up ice. She will do it if they can't. > Will ask Glenda is she would like to be a judge 8. PARADE PREPARATION • Choose a Grand Marshall (they are usually also a judge) • Wally reported that Billy Giroux(Orleans American Legion) has someone to place and remove flags on the parade route • Begin meeting every two weeks—June 2"d,June 16th,June 30th • Start thinking about who we can ask to volunteer to walk with the parade • Judi Pepper will get and return flowers from Friends. • Leave Grand Marshal car there at the reviewing stand for judges to go to Awards • We need signage for our truck saying"watch out for the collectors" "support our parade" A way to announce we are collecting during the parade 10. NEW BUSINESS: • Alan reported that the only vendor during the Fireworks and Parade will be The Local Scoop. Authorities have been notified that there should be no other vendors at the events The next meeting will be held on Thursday,June 2"d at 4:00 pm at the Orleans Town Hall. *Note from last year Collecting for the parade • Debbie Howerton reported that it was hard to get people to collect • The flow of collectors needs to be looked at • The collectors need common shirts and something to identify—with words—who they are and what they are doing • It was suggested that before the parade starts we might have stands to collect donations, maybe on the corners at the 3 main intersections.The stands could be tables with balloons • We need a magnetic sign for the Committee truck • Friends of the 4th Parade Donation—Please Donate on Front—Thank you for your donation on back. We do have a lot of these T-shirts but"Friends"are associated with the fireworks • A strategy to discuss-2 people start at the parade end, before the parade, and begin walking back, 2 people start at middle and head back—need clarification The meeting was adjourned at 5:30 r Respectfully submit • 'n- , 116 Bonnie Roy,Clerk
