Subject: Recurring Vendors
The purpose of this Letter to Council (LTC) is to provide transparency, with respect to vendors
used by the Village over the course of the fiscal year.
On September 8, 2020, Council approved the use of 29 vendors, which on aggregate may
exceed $20,000 (the Village Manager's spending limit) over the course of the fiscal year. Within
this approval, Council requested notification if/when any vendors on the list exceed the
threshold of $20,000. At this time, four vendors: Mercedes Electric Supply, Lank Oil, Tirone
Electric, Inc., and NGR Auto Services has exceeded $20,000 in aggregate purchases.
Mercedes Electric Supply was included in the January 22nd, 2021 LTC Update.
Lank Oil Company, provides diesel and unleaded fuel delivered to our tanks behind the Public
Works facility to keep our Village fleet on the move. The spot market pricing for the fuel they
provide is consistent with other vendors, and more importantly the freight fee they charge is
considerably less than other vendors. They are our primary source for fuel deliveries at a
monthly average cost of approximately $5,012. Total disbursed through March 31, 2021 was
approximately $22K.
Tirone Electric, Inc. provides licensed electrical services to the Village on an as needed basis.
During this fiscal year this vendor provided services to the New PPS Operations Facility
Renovation Project including the door access control system at a cost of $15,840 and the
electrical service point wiring for the new pre -fabricated office to be placed adjacent to Village
Hall at a cost of $5,887.50. Other costs are generally lower in cost. Total disbursed through
March 31, 2021 was approximately $28K.
NGR Auto Services, provides Village Fleet repairs and maintenance to all Village operated
vehicles which are not under a current manufactures warranty. Individual charges are generally
low in cost with the aggregate of all expenses surpassing the twenty thousand ($20,000) dollar
Village Manager's purchase authority threshold. Total disbursed through March 31, 2021 was
approximately $22K.
