HomeMy Public PortalAbout160_030_fottminutes41813 Friends of the Tybee Theater Regular Board Meeting April 18, 2013 Present:Jim Kluttz, Alfie Waite, Paul DeVivo, Sloan Knudson,Jerry Onyskiw, Dick Smith, Paul Gilker, Greg Stoffler and Bill Blakey Absent: Keith Gay,Jay Burke, Carrie Efrid, Maria Lancaster, Richard Adams, Sarah Jones,Jan Fox, and Jenny Orr Staff: Amy Kagan Guest: Cullen Chambers Call to Order:Jim Kluttz called the meeting to order at 5:01 pm. Minutes: March 21, 2013 minutes were approved. Committee Reports: Finance: Alfie distributed the March 31, 2013 balance sheet and income statement for the 3 months then ended. Cash was approximately$125,000 with the reduction from year end due primarily to work on the theater. Fund raising income for the 3 months was approximately$20,000. Two grants in March, including one from The City of Tybee, totaled $17,500. April financials will reflect the Wine Festival results. Building: Cullen Chambers reported that the bathrooms should be finished by the end of this week with a walk through next week. Event and Activities Recap: Tybee Wine Festival: Amy distributed a preliminary p/I for the festival which showed approximately$36,000 of net income as compared to$40,000 last year. A contributing factor to the reduction was added costs required to comply with health department regulations. There was a discussion of the various events of the week. A Special Thanks goes to Jenny Orr and her staff at Marlins, Richard Adams for setup of the festival, Stephen Street for handling parking and Amy Kagan for all her work on coordinating the event. The results noted are still preliminary as payments to the restaurants of$200.00 per have not been made and there may be a couple bills still out there. Graham and Swift report: The Wine Festival feedback continues to demonstrate there is great interest in getting a certificate of occupancy and getting the theater open. We need to get a plan for the next phase with about 250 seats in place and what this will cost. Currently G &S are looking at what they feel we will need to provide adequate electric capability for the theater. Jim said that after paying for the current construction phase and counting the results of the Wine Festival he estimated we would have about$90,000 cash on hand. With an objective of having a $40,000 to $50,000 cushion to provide for any slowdown in the economy or fundraising a good estimate of what the next phase will cost is crucial. Other matters: At the next meeting we need to finalize the date for the wine festival next year so we can start planning and reserve the Pier. We have made a request that a grant to FOTT of$7,500 be included in the 2014 City of Tybee budget. With Tina Gann's resignation we have an opening on the Board. Names of people to consider should be forwarded to Jim. Adjourned: 6:02 pm.
